Protection of personal information
Everything you send through the forms on this site — a membership application, a supplier application, a support request or a testimonial — goes to the United Buyers Group office. It is not shared with a third party and it is not used to send you marketing you did not ask for.
You may ask us what we hold about you, ask for it to be corrected, or ask for it to be deleted. Write to the Privacy Officer below and a person will answer.
uHub Privacy Policy
Version 1.0 · Effective October 15, 2026
1. Who we are and what this policy covers
This policy explains how United Buyers Group ("UBG", "we", "us") collects, uses, shares and protects personal information through uHub, the UBG Hub portal for Members and Supplier Partners.
It applies to everyone who uses uHub: Member owners and employees, outside accountants given access by a Member, and Supplier Partner users. It does not cover our public websites, such as welovefire.com, which have their own privacy policies.
This policy forms part of the uHub Terms and Conditions of Use.
2. Information we collect
| Type | Examples | Where it comes from |
|---|---|---|
| Account and contact | Name, business email, phone, job title, company, store location, user role | You, or your company's Owner / Admin when they add you |
| Login and security | Password (encrypted), two-factor settings, login dates and times, IP address | Your use of uHub |
| Usage | Pages visited, browser and device type, referring page, date and time of access | Your use of uHub |
| Business activity | Orders, purchases by supplier, rebate statements, discrepancy flags, invoices and payments, event registrations | You, your company and Supplier Partners |
| Banking and payment | Payee and banking details for rebate payments. Card payments are handled by our payment processor, and we do not store full card numbers | Your company's Owner / Admin |
Most of the information in uHub is about businesses, not individuals. Where it identifies a person, we treat it as personal information under this policy.
3. How we use it
We use personal information only to run uHub and the UBG membership:
- Create and manage user accounts, roles and access.
- Show pricing, programs, inventory and orders, and send orders to Supplier Partners.
- Calculate, report and pay rebates, issue membership invoices and process payments.
- Calculate Supportive Scale results and track event attendance, as set out in the Membership Rules.
- Send uHub notices, program updates and UBG communications related to your membership.
- Protect uHub against unauthorized access and fraud, and keep an audit log.
- Analyze how uHub is used so we can improve it.
- Resolve disputes, manage requests and meet our legal obligations.
We do not sell personal information, and we do not use uHub data for targeted advertising.
4. Who we share it with
We share personal information only as needed for the purposes in section 3:
- Supplier Partners: we share a Member's order, purchase and contact details with the Supplier Partner involved. This lets them fill orders, confirm volumes and calculate rebates. A Supplier Partner sees only its own business with Members, never another supplier's.
- Within your company: other users on your company's account can see your name and role. What else they see depends on their own role.
- Service providers: these include hosting, email, payment processing and analytics providers that work on our behalf. They must use the information only for the service they provide, protect it, and limit how long they keep it.
- UBG affiliates: for example, We Love Fire Logistics, when you use its services.
- Legal reasons: to comply with a law or court order, to protect rights or safety, or to enforce our agreements.
- Business transfers: if UBG is part of a merger, acquisition or sale of assets, personal information may be transferred under the same protections.
- With your consent: in any other case.
5. Where it is stored and how long we keep it
uHub data is stored in the United States by our hosting provider, and may be accessed or processed in Canada or the United States. Some service providers may process information in other countries. When that happens, we use contracts and safeguards to give it comparable protection.
| Information | How long we keep it |
|---|---|
| User account and contact details | While the account is active, then up to 180 days after access ends |
| Login, usage and audit logs | 12 months |
| Orders, rebates, invoices and payments | 7 years, to meet tax and accounting requirements |
| Information that does not identify you | May be kept indefinitely, for example group purchase totals |
We may keep information longer when the law requires it or to resolve a dispute.
6. Security
We protect personal information with encrypted connections, encrypted passwords, role-based access, and two-factor authentication for finance roles. We also keep audit logs of logins, user changes, orders and payments.
No system is completely secure, so we cannot guarantee the security of the information you provide. You can help by keeping your login private and telling us right away if you suspect misuse.
If a privacy incident creates a risk of serious harm, we will notify the people affected and the relevant authorities, as the law requires. We are not responsible for third-party websites linked from uHub, such as Supplier Partner sites.
7. Cookies and analytics
uHub uses two cookies:
- A session cookie, which keeps you signed in as you move from page to page.
- A display settings cookie, which remembers your language and your choice of light or dark theme.
Both are strictly necessary, and uHub cannot work without them.
uHub does not use analytics, targeting or advertising cookies.
8. Your rights and choices
Depending on where you live, you may have the right to:
- Know what personal information we hold about you, and get a copy of it.
- Correct information that is wrong or incomplete.
- Withdraw your consent, or ask us to delete information we no longer need. Some records must be kept for legal or accounting reasons.
- Receive your information in a structured, commonly used format.
- File a complaint with a privacy regulator, such as the Commission d'accès à l'information du Québec or the Office of the Privacy Commissioner of Canada.
To use any of these rights, contact our Privacy Officer (section 9). We will answer within 30 days. Your company's Owner / Admin can also update or remove your account directly in uHub.
